Lawful Basis for Processing

This recruitment privacy policy describes how Rototec companies collect and process your personal data in connection with your job application and the recruitment process. 

We collect and process personal data, which is needed for recruitment purposes and evaluating suitability of the applicants to ensure an effective and lawful recruitment process and to fulfil obligations arising from applicable employment, equality or reporting legislations. 

Categories of Personal Data Processed

We may collect and process the following categories of personal data: 

  • Basic identification and contact details (name, address, phone number, email, date and place of birth)
  • Information contained in the applicant’s CV and application
  • Information collected during the recruitment process
  • Information from references with the applicant’s permission
  • Information obtained from publicly available sources (e.g. Linkedin)

Personal data is primarily obtained from the applicant, recruitment agencies, reference providers and aptitude or personality assessment service providers. 

Processing of Personal Data

Data will be processed by HR, the recruiting manager and recruitment team if applicable. We may process your personal data to meet our statutory obligations such as to fulfil authorities’ requests based on the law.

We do not make recruitment decision based solely on automated processing. 

Retention of Personal Data

Personal data will be retained for maximum 2 years after the recruitment process has been completed. Unsolicited applications and related personal data will be retained 6 months after receiving them. After these periods, your data will be permanently deleted, unless a longer retention period is required by law.

Third Parties and Transfers

Recruitment-related personnel may also include third-party service providers, who will have access to your personal data under appropriate safeguards. 

Your personal data will generally be processed within the EU/EEA. If data is transferred outside the EU/EEA, Rototec will ensure appropriate safeguards are in place, such as the EU Standard Contractual Clauses.

Your Rights

You have the right to request access to your data, rectification, erasure, restriction of processing, objection to processing, and the right to data portability (GDPR Art. 15–22). You can exercise these rights by contacting privacy@rototecgroup.com.
